Posting Rentals on Zillow for Apartment Communities: The 25-Unit Multifamily Rule, PMS Feeds and Blocked Listings

For marketing, leasing and ILS leads at multifamily operators who manage communities of 25 or more units.

Brynson Research Team·Updated ·8 min read Sources checked
TL;DR

Zillow treats any rental property with 25 or more units as a large multifamily listing that requires a paid listing. Smaller rentals can be posted free in Zillow Rental Manager, but apartment communities advertise through a paid agreement, usually fed from the PMS. Send each property from one source only, or Zillow is likely to decline the second version.

  • Zillow declines 25-plus-unit listings that have no paid agreement with the reason "No Advertising Contract."
  • Zillow documents PMS integrations such as RealPage LeaseStar and ResMan and says to allow 24 to 48 hours once the connection is made.
  • Zillow publishes one version of a listing at a time, so an old Rental Manager post, a second vendor feed or a previous manager's feed causes declines.
  • Fix fees, amenities and names in the PMS, not by hand on Zillow, because Zillow syndicates each error to partner sites.

Under 25 units or 25 and over: two different ways onto Zillow

Zillow's help center: "Zillow considers properties with 25 units or more as large multi-family listings, which require a paid listing" (Zillow Help Center). For those communities, "Individual listings can not be posted directly"; a multifamily advertising agreement covers the whole community (Multifamily and Existing Feeds). The stipulated final order filed August 24, 2026 in the FTC and five-state case against Zillow and Redfin uses the same line for a "Multifamily Rental Property" (definition 14); the FTC case page still showed the case as pending on October 22, 2026.

Zillow's "free automated feed program" (Multifamily and New Feeds) covers the data pipe, not the advertising: a 25-plus-unit community on that feed still needs the paid agreement.

How a multifamily feed reaches Zillow

The property management system (PMS) sends; the advertising agreement decides whether Zillow publishes. Two routes:

  • A PMS integration. Zillow documents the switch per platform. In RealPage's LeaseStar: Marketing Center, Listing Services, 3rd Party ILSs, add and enable the Zillow channel, then allow 24 to 48 hours (LeaseStar FAQ). In ResMan you open a support ticket naming the properties to connect; once ResMan completes the integration, Zillow says listings take 24 to 48 hours to connect (ResMan FAQ).
  • A direct feed. You publish an XML file that conforms to Zillow's Rental Listings Feed Guide; a website URL is not enough (Zillow). Zillow accepts MITS feeds and its own HotPads template, and recommends MITS 5 for fee data (Zillow).

Zillow's minimum fields: full address, contact email, contact phone, at least one unit with pricing, at least one photo, and bedroom and bathroom counts (Zillow).

Where a Zillow multifamily listing also appears

Brynson works with Zillow as a partner. The FTC order's Appendix A defines the Zillow Sites as Zillow.com, HotPads.com and Trulia (FTC order). For 25-plus-unit communities Zillow also syndicates to Realtor.com (announced March 5, 2024) and to Redfin, Rent.com and ApartmentGuide (announced February 11, 2025), and the same appendix lists Rentals.com among the Redfin Sites. One feed error can reach up to eight sites. Appendix A also defines a "Zillow Only Product" that Zillow need not send to Redfin, so confirm carriage in the order form. Troubleshooting: why a Zillow multifamily listing is declined, blocked or inactive

Before opening a ticket, check the Zillow Account Portal: each property shows a banner with the listing data source and any feed errors, and a Declined or Partially Published status when publishing fails (LeaseStar FAQ).

Seven ways an apartment community ends up duplicated or declined on Zillow

Zillow "will only ever publish a single version of a listing at any given time." Each item below is a second version waiting to happen, with the fix.

  1. 01

An onsite team member's Rental Manager post

A leasing agent posts a hard-to-fill unit by hand in Zillow Rental Manager. Zillow names "another account in Rental Manager" as a cause of declines (Zillow). Fix: one named Zillow owner per portfolio and a quarterly address search.

  2. 02

The previous manager's feed after a takeover

The outgoing company's PMS keeps sending the property, so your new feed is declined as already posted. Fix: make "disable all ILS feeds, confirmed in writing" a transition checklist item.

  3. 03

    A second vendor feed

A CRM, marketing platform or website vendor sends its own feed alongside the PMS. Fix: one source per property; switch every other Zillow toggle off.

  4. 04

An MLS or for-sale listing at the same address

Zillow's single-family article says its "policy only permits one listing per address" (Zillow); its multifamily article now shows for-sale and for-rent listings together, but "the For Sale listing will always be the primary listing that displays" (Zillow). Fix: ask the broker to remove or correct the MLS record.

  5. 05

A missing advertising contract on a new phase

A new phase gets its own PMS property ID but is left off the Zillow agreement, so it is declined: "No Advertising Contract." Fix: add new property IDs to the order form first.

  6. 06

Internal codes in names and unit numbers

PMS names often carry codes such as "BLDG2-PH1". Zillow says names and unit numbers "need to be descriptive and not contain internal codes for the listings to be published" (Zillow). Fix: clean the marketing name field, not the accounting name.

  7. 07

A feed paused when the building is full

Under an active multifamily contract, a listing that stops sending triggers a feed syndication error (ResMan FAQ), and no available units can make it inactive (LeaseStar FAQ). Fix: keep floor plans publishing with prices and use Zillow's waitlist.

Pre-launch checklist for a new community or a takeover on Zillow

Run this before the first feed goes live, or in the first week after a management change. It takes about two hours per property.

Time needed: 2 hours

  1. 1

Confirm the unit count and the route

If the community has 25 or more units, it needs a paid Zillow multifamily agreement; Rental Manager posting is not an option.

  2. 2

Search Zillow for every existing version

Search the address, the marketing name and any former names on Zillow, Trulia and HotPads, and check the data source banner in the Zillow Account Portal. Record each listing you find and where it comes from.

  3. 3

    Shut off every other source

Get the previous manager, any CRM or website vendor and onsite staff to end their Zillow posts or feeds, and get each confirmation in writing.

  4. 4

Attach the contract to the property ID

Make sure the Zillow agreement names each property ID your feed will send, including new phases and buildings.

  5. 5

    Clean the PMS marketing record

Use one street address (the leasing office or community entrance), never a range such as 100-200 Smith Street, with no property name or unit numbers in the address fields. Check contact email and phone, bed and bath counts, names free of internal codes, and photos between 1024 by 768 and 2048 by 1536 pixels, under 25MB.

  6. 6

Map fees and specials at the source

Configure mandatory fees in the PMS fee module so they flow into the feed, and decide where concessions will live so they are not set by hand on Zillow.

  7. 7

Enable the Zillow channel and wait

Switch on Zillow in the PMS or marketing platform, allow 24 to 48 hours, then check the listing on each Zillow site against the PMS field by field.

Keeping Zillow in line with the PMS after launch

In Brynson's analysis of 6,000 properties and 1.6 million units, nearly 89% of communities described themselves differently across listing sites, and although 97% of listings had been updated within the previous 90 days, conflicting mandatory fees, missing amenities and contradictory terms persisted (listing accuracy report). On Zillow, three fields drift for reasons Zillow documents.

  • Fees. Zillow's Costs and Fees calculator reads fee data from MITS 5.0 feeds and named providers, including Entrata's Fee Transparency API, RealPage, Yardi's RentCafe, Funnel and Engrain's SightMap REST API (Zillow). Brynson works with Engrain as a partner. The Zillow Account Portal also lets you edit fees by hand and turn on a "Total Price" (base rent plus fixed, monthly mandatory fees). A portal edit changes Zillow only, and Zillow does not say whether a later feed overwrites it. See which fees count as mandatory.
  • Amenities. Zillow maps PMS amenities to its own categories, puts the rest in Special Features, and shows unit features on every floor plan with "Features may not be available for all units" (AppFolio FAQ).
  • Specials. Zillow says it cannot display specials or concessions added in ResMan; add them through Zillow support (ResMan FAQ).
Illustrative example

A 280-unit community raises its admin fee from $250 to $300 in the PMS fee module. Months earlier, a manager had typed the $250 fee into the Zillow Account Portal. If the feed does not overwrite that portal entry, Zillow's Costs and Fees breakdown stays $50 below what the community charges at move-in, while the PMS and the other ILSs show $300.

Where ILS Management fits

ILS Management™ keeps each property's Zillow package, package changes and cost per lease in one view next to every other ILS, with listings checked against your PMS nightly. Compliance360 Listing Consistency pulls the Zillow listing every night, compares rent, fees, units, pet policy, amenities, floor plans and photos with the PMS field by field, ranks each mismatch by severity, and counts a fix only when the next sync agrees.

One or two communities on Zillow

The checklist above and a monthly side-by-side check of the listing against the PMS are usually enough.

A portfolio on Zillow and other ILSs

Listing Consistency compares five sources (Apartments.com, Apartment List, Zillow, Zumper and HelloData) with the PMS nightly, so drift on Zillow shows up beside the same drift elsewhere.

Frequently asked questions

25 or more. Zillow considers properties with 25 units or more large multifamily listings that require a paid listing, and the stipulated FTC order filed in August 2026 uses the same line.

Zillow publishes one version of a listing at a time and declines the second source for the same address. Find it (an onsite post, a vendor feed or a previous manager's feed) and turn it off.

Not for the same property: Zillow publishes one version and declines the other. For 25-plus-unit communities, Zillow says individual listings cannot be posted directly at all.

Enable Zillow as a channel in the PMS or its marketing module, or ask PMS support to connect the property, then allow 24 to 48 hours. The property also needs an active Zillow multifamily advertising agreement, or the listing is declined.

Zillow attempts to pick up RealPage LeaseStar files 7 times a day, and bulk feed changes can take a few hours. A new listing or edit can take up to 24 hours, sometimes a day or two more, to appear on Zillow, Trulia and HotPads.

If the PMS is ResMan, Zillow says it cannot display specials or concessions added there and asks partners to contact Zillow support to add them. Log each special added that way and remove it when the offer ends.
